Student & Guardian Policy

Admission, classes, refunds, discipline, cyber security, and certification — all the rules in one place.

Welcome Message

Dear students and respected guardians, Assalamu Alaikum wa Rahmatullah.

Welcome to Al Mashaf Institute! We believe that the right education and knowledge can transform a person’s life. That is why we do not simply teach lessons — we aim to nurture skilled, responsible, and God-conscious individuals.

This policy is not a dense legal document. Rather, it is a record of our mutual understanding — where we clearly state what we expect and what we are committed to providing. As a teacher, my hope is that you read, understand, and accept every rule before moving forward.

Please remember: these rules are not meant to restrict you — they exist to ensure a beautiful, disciplined, and safe learning environment.

Legal Basis

This policy has been drafted in accordance with the laws of Bangladesh — consistent with, and legally valid under, national law:

Section 1

Admission & Registration

1.1 Admission Eligibility & Process

To enroll at our Institute, a few general rules must be followed. These are not complicated — they exist for the mutual benefit of both you and us:

  • Filling out the admission form: The admission form must be filled out accurately in your own hand. Everything you write on the form must be true. Providing false information may cause complications later and can also be legally punishable.
  • Required documents: 1 recent passport-size color photo, an attested photocopy of your National ID (NID) or birth certificate, and educational certificates (if applicable).
  • For minor students: If the student is under 18, guardian consent is mandatory (Section 11 of the Contract Act, 1872). Required: a copy of the guardian’s NID, an active mobile number, and a written consent letter.
  • Payment receipt: Whenever you make a payment, you must obtain an official receipt. No payment will be considered valid without a receipt.

1.2 Institute ID Card

The ID card is not just a card — it is your identity. It proves that you are one of our respected students.

  • The ID card will be issued within 7 working days of completing admission
  • Showing your ID card is mandatory when entering the Institute premises
  • If you lose your ID card, you must notify the administration within 2 working days and obtain a new one for a $300 fee
Section 2⚠️ Important — Refund Policy

Admission Cancellation & Fee Refunds (Refund Policy)

⚠️ This section is very important. Please read carefully and make sure you understand it.
  • Cancellation before the course starts: 80% refund (a 20% processing fee will be deducted)
  • Cancellation within the first 2 classes: 60% refund (a 40% administrative charge will be deducted)
  • After 2 classes have passed since the course started, no course change or admission cancellation is allowed (no refund)
  • After admission, switching from online to offline or offline to online is not allowed (Institute management may grant permission under certain conditions)
  • Before enrolling, please review the course outline and curriculum content carefully
  • The online and offline class schedule set by management is non-negotiable

Refund Application Process

  • Fill out the designated form and submit it to the office
  • Verification within 3 working days; a decision will be communicated within 7 working days
  • If approved, the refund will be issued via bank transfer/mobile banking within 10 working days

Cases Where No Refund Will Be Issued

  • Expulsion due to a disciplinary violation or serious offense
  • Admission cancelled due to 10 consecutive absences
  • Admission cancelled while installments or fees remain outstanding

If the Institute Cancels the Course

If the Institute fails to deliver the course or cancels it, 100% of the fee will be refunded within 15 working days.

Section 3

Attendance & Classes

3.1 Attendance Rules

  • A minimum of 80% attendance is mandatory in every course. Falling below this means no certificate will be issued
  • Be present at the Institute at least 5 minutes before class begins
  • Arriving more than 15 minutes after class starts will be marked as “late.” More than 3 late arrivals in a month will result in a written warning
  • Arriving more than 30 minutes after class starts means you will not be allowed to join the class and will be marked absent

3.2 Leave Policy

  • Before or during a missed class, you must request leave by speaking with the teacher over the phone. A message or SMS alone is not acceptable
  • For sick leave longer than 3 days, a prescription or medical certificate from a registered doctor must be provided
  • For extended leave due to a family emergency or other special reason, a written application and supporting documents must be submitted

3.3 Extended Absence

10 consecutive class absences will automatically cancel your admission. To rejoin the course afterward, you will need to re-enroll and pay the full course fee again.

3.4 Makeup Classes & Backup Materials

  • If a class is missed for a valid reason, a recorded class video and practice sheet will be provided
  • Makeup or backup materials must be collected and completed while the course is still ongoing
Important: After the course has ended, no makeup classes, backup videos, notes, or practice sheets will be provided. No exceptions will be made.
Section 4

Academic Responsibilities & Assessment

4.1 Homework & Assignments

  • Homework (if assigned) must be submitted by the next class
  • Failing to submit homework 3 times in a row will result in a written warning, and the guardian will be notified if the student is under 18
  • Copy-pasting or plagiarism is strictly forbidden. A first offense results in a score of 0; a second offense results in cancellation of admission

4.2 Projects & Practical Work

  • Projects or practical work at the end of a module must be submitted on time (if applicable)
  • A minimum score of 60% is required on projects. If you score below this, you must resubmit
  • A certificate will not be issued unless all practice sheets and projects are completed

4.3 Exams & Assessment

  • Participation in end-of-module tests and the final exam at the end of the course is mandatory (where applicable)
  • Cheating, unfair means, or mobile phone use during exams is forbidden. If caught, the exam paper will be cancelled and a final warning issued
  • A minimum score of 60% on the final exam is required for a certificate. If you score below 60%, you get one retake opportunity (fee: $500)

Classroom Discipline & Code of Conduct

5.1 Class Entry & Behavior

  • You must join before the class begins
  • You may not leave during class without permission
  • Silence and attentiveness must be maintained during class
  • If you have a question, raise your hand and ask only after the teacher grants permission
  • Whispering, chatting, or unnecessary talk with classmates is not allowed
  • Show respect when the teacher enters and leaves

5.2 Mobile Phone Use

  • As soon as you join class, set your mobile phone to silent or vibrate mode
  • Making calls, texting, or using social media during class is forbidden without the teacher’s permission
  • Violations: 1st time — warning; 2nd time — mobile phone confiscated (returned at the end of class); 3rd time — guardian notified

5.3 Dress Code

  • Come dressed neatly, modestly, and in culturally appropriate attire
  • Clothing with obscene, offensive, political slogans, or controversial text is forbidden
  • Shorts, sandals, or flip-flops are not allowed in class
  • For female students: salwar kameez, saree, or modest/hijab-observing attire
  • For male students: modest attire such as a t-shirt, shirt and trousers, or panjabi-pajama

5.4 Food & Drink

  • Only water may be consumed in class
  • If you need to eat, please go to the designated canteen or break area

Computer Lab & Internet

6.1 Computer Lab Usage

  • Each student will be assigned a specific seat or computer. Sitting in someone else’s seat without permission is not allowed
  • Handle computers, keyboards, mice, and other equipment with care
  • Changing computer settings, installing or uninstalling software, or altering configurations is strictly forbidden
  • Intentional damage will incur a fine based on market value, and disciplinary action if necessary

6.2 Data & File Management

  • Save your work only in the designated drive or folder
  • Viewing, deleting, copying, or modifying someone else’s files is forbidden
  • Get the teacher’s permission before using a pen drive or other external device
  • Bringing in or spreading files containing viruses or malware is strictly forbidden

6.3 Internet & Wi-Fi

  • Free Wi-Fi may only be used for course-related work
  • Sharing the Wi-Fi password with others is forbidden
  • Wi-Fi access is not provided on mobile phones, in order to maintain discipline

6.4 Strictly Forbidden Internet Activities

  • Browsing social media (Facebook, Instagram, TikTok, Twitter, etc.)
  • Online gaming
  • Streaming videos unrelated to the course (YouTube, Netflix, etc.)
  • Pornography or obscene content (immediate expulsion + legal action)
  • Downloading pirated software, movies, or music
  • Torrenting or P2P file sharing

Penalties for violations: 1st offense — warning + 7 days without internet access; 2nd offense — 1 month without internet access; 3rd offense — expulsion.

Section 7

Cyber Security & Legal Provisions

In accordance with the Cyber Security Act, 2023 —

7.1 Cybercrime: Zero Tolerance

  • Hacking, phishing, or spreading malware
  • Hacking someone else’s account, stealing passwords, or unauthorized access
  • Cyberbullying, harassment, or online threats
  • Sharing someone’s personal photos, videos, or information without permission
  • Attempting to breach the Institute’s network or systems
The above actions are strictly forbidden. Violators will face immediate expulsion, a police case, and no refund.

7.2 Intellectual Property (Copyright)

All course materials, videos, slides, notes, and practice sheets belong to Al Mashaf Institute. Students may use them for personal learning purposes only.

Recording classes, taking screenshots, copying, sharing, distributing, or selling course content is strictly forbidden without the teacher’s written permission. Violations will result in legal action and a claim for damages under copyright law.

Section 8

Code of Conduct & Social Discipline

8.1 Conduct Toward Classmates & Teachers

  • Speak to everyone with respect
  • Follow the instructions of teachers and staff
  • Treat everyone courteously, including cleaning staff and security personnel

8.2 Zero Tolerance: Strictly Forbidden

  • Bullying, harassment, or mental or physical abuse
  • Insulting anyone based on caste, religion, race, gender, economic status, or physical ability
  • Sexual harassment or inappropriate conduct
  • Quarreling, fighting, or physical altercations
  • Making threats or intimidating others
The above behaviors will result in immediate expulsion, a police report or case if necessary, and no refund.

8.3 Property Protection & Cleanliness

  • Handle the Institute’s furniture and equipment with care
  • Writing or drawing on walls, tables, or chairs is forbidden
  • Dispose of trash in the dustbin
  • Theft, robbery, or misappropriation of property may result in immediate expulsion and a police case

Section 10

Expulsion Policy

10.1 Offenses Warranting Immediate Expulsion

  • Drug use, possession, or sale
  • Theft, robbery, or misappropriation of property
  • Cybercrime (hacking, phishing, spreading malware)
  • Sexual harassment or inappropriate sexual conduct
  • Physical violence or fighting
  • Carrying weapons or dangerous objects
  • Viewing or distributing pornography
  • Sharing someone’s personal photos/videos without permission, or blackmail

10.2 Graduated Expulsion (General Violations)

  • 1st violation: written warning (guardian notified if the student is under 18)
  • 2nd violation: 7-day suspension + a meeting with the guardian
  • 3rd violation: permanent expulsion + no refund

10.3 Special Policy on Online & Offline Conduct

  • I will not make any insulting, defamatory, false, or provocative statements about the Institute’s teachers, staff, or the organization itself
  • I will not engage in factionalism, incitement, spreading rumors, or creating division
  • I will follow all of the Institute’s rules and discipline in class, group chats, and the wider community
  • Any complaints will be raised only through official channels (office/management), in writing

Violating the above policy may result in expulsion and legal action.

10.4 After Expulsion

  • Expelled students are forbidden from entering the Institute premises
  • No refund will be issued
  • The ID card and all academic privileges will be revoked
  • Legal action will be taken if necessary
Section 11

Payment & Financial Policy

11.1 Course Fee Payment

  • At the time of admission, you must pay the full course fee or the first installment
  • Discounted pricing (if any) applies to full, one-time payments
  • You must collect and keep the official receipt for every payment

11.2 Late Installment Penalties

11.3 Payment Methods

Accepted payment methods: cash, bank transfer, bKash, Nagad, Rocket. Every receipt will include the student’s name, course name, date, and receipt number.

Section 12

Complaints & Grievance Redress

12.1 Filing a Complaint

  • Submit it in writing to the "Suggestion Box"
  • For serious matters, schedule an appointment to meet the administration in person

12.2 Complaint Resolution Timeline

  • Acknowledgment within 3 working days of receiving the complaint
  • Investigation/review completed within 7 working days
  • A final decision will be communicated in writing within 15 working days

Certification & Course Completion

13.1 Certificate Eligibility Requirements

  • At least 80% attendance
  • Submission of all homework, assignments, practice sheets, and projects
  • A minimum score of 60% on the final exam
  • Full course fee paid (no outstanding balance)
  • No serious rule violations

13.2 Certificate Issuance

The certificate will be ready within 15-30 days after the course ends. It will include: the student’s name, course name and duration, grade/score, issue date, and the Institute’s official seal and authorized signature.

13.3 Duplicate Certificates

If you lose your certificate: file a General Diary (GD) report at Al Mashaf Institute, then submit an application with a copy of the GD report, a written request, and a $1,000 fee. A duplicate certificate will be issued within 30 working days.

Section 14

Data Protection & Privacy

14.1 What Information We Collect & Why

At the time of admission, we collect certain information: name, address, phone number, NID/birth registration number, photo, and educational qualifications. This information is used only for administrative work, academic purposes, and legal requirements. It will not be shared with any third party except where legally required.

14.2 Data Security

  • Information is stored in an encrypted database
  • Only authorized officials have access
  • Regular backups and cyber security measures are maintained

14.3 CCTV Surveillance

CCTV cameras are installed at the Institute for security and discipline. Footage is used only for security, investigation, or legal purposes, and is retained for 7-30 days.

Section 15

Legal Provisions & Important Information

15.1 Governing Law & Jurisdiction

  • This policy is governed by the applicable laws of Bangladesh
  • In the event of a dispute, resolution will first be attempted through discussion
  • If discussion fails, the civil/criminal courts of Dhaka District shall have jurisdiction

15.2 Disclaimer

  • The Institute is not liable for the loss or theft of a student’s personal belongings (mobile phone, laptop, money)
  • The Institute is not liable for accidents resulting from a student’s own carelessness
  • No compensation applies if a course is delayed or suspended due to natural disasters, pandemics, or government restrictions
  • Completing a course does not guarantee a job or income; success depends on skill and effort

15.3 Policy Changes

Al Mashaf Institute reserves the right to change or update this policy at any time. Changes will be published on the website, notice board, and Facebook page, and current students will be notified via SMS/WhatsApp. The new policy takes effect 3 days after publication.

Student's Pledge

By enrolling at Al Mashaf Institute, I confirm that I have read and understood all of the above policies and pledge to abide by them. If I violate any rule, I accept that the Institute may take any disciplinary or legal action it deems necessary.
